VantagePoint Alliance (VPA) is seeking a Construction Project Administrator to provide critical administrative and coordination support throughout the lifecycle of construction projects—from pre-construction planning through to project closeout. The Project Administrator will serve as a central point of contact between project teams, clients, subcontractors, and vendors to ensure smooth communication, timely documentation, and alignment with project goals. The role includes maintaining detailed records, managing reports and correspondence, coordinating schedules and logistics, supporting compliance with health, safety, and quality standards, and facilitating efficient project execution. With a focus on organization, accuracy, and proactive problem-solving, the Administrator will help drive project efficiency and team collaboration on construction sites and in office environments.
Responsibilities
Assist in developing project reports, documentation, and required programs.
Manage and update CID entries, complaints, and supplier issues, ensuring timely and appropriate resolution.
Maintain accurate and up-to-date project files to support seamless operations.
Organize and manage archived project information as needed.
Coordinate workshops, conferences, seminars, and training sessions.
Prepare project documentation, reports, and presentations as required.
Record and distribute minutes from internal and client meetings, ensuring timely and accurate communication.
Track and follow up on action items from meetings to ensure timely resolution.
Support the development and implementation of the Project Management Delivery Process.
Arrange travel and accommodation for the project team as needed.
Provide comprehensive administrative support to the project team, handling all office-related tasks.
Adhere to Health, Safety, Environmental, and Quality (HSEQ) management policies and procedures.
Maintain and update the Project Engineer whereabouts spreadsheet.
Track and manage project commissioning activities through an updated spreadsheet.
Oversee and update the Projects Team Holiday Planner.

Minimum of 3 years’ experience in an administrative role within a fast-paced and high-demand environment.

Familiarity with Microsoft Project or similar project management software.
Previous experience supporting projects in an engineering or construction-related environment.
